The Consultant PA role is a dual-function position that combines front-of-house reception responsibilities with dedicated administrative support for our consultants. The successful candidate will be primarily based at reception, delivering an exceptional patient experience while managing consultant diaries, patient enquiries and the Consultant PA inbox, acting as a key point of support for both patients and consultants.

We are looking for someone who is passionate about maintaining the high standard of patient care and experience at Pure Sports Medicine. The successful post holder will be responsible for:

Consultant Support

  • Manage consultant diaries, clinic schedules, appointments and follow-ups
  • Act as the central point of contact for patients, consultants, clinical and administrative teams, and external providers
  • Coordinate communication and information between all relevant parties to ensure the smooth running of patient care
  • Liaise with external providers, including imaging centres, pathology laboratories, hospitals and other healthcare providers
  • Ensure consultants have the information, documentation and materials required for their clinics
  • Ensure the smooth running of consultant sessions, including preparation of clinic rooms and necessary patient documentation
  • Escalate clinical queries or concerns to the appropriate clinician

 

Reception & Patient Administration

  • Welcome patients and visitors, manage patient check-in and assist with their arrival and departure in a professional and friendly manner
  • Answer and manage incoming telephone calls, emails and in-person enquiries
  • Manage patient bookings, cancellations and rescheduling
  • Assist patients with administrative queries relating to their appointments and care pathway
  • Maintain accurate and confidential patient records in accordance with GDPR and clinic policies
  • Maintain a professional, welcoming and well-presented reception and waiting area, ensuring the highest standards of cleanliness, organisation and patient experience are upheld at all times
  • Handle routine patient concerns professionally and escalate complaints or concerns where appropriate
  • Deal with deliveries, post and other routine reception tasks

 

Stock Management

  • Ensure appropriate levels of medical supplies, consumables and clinical stock required for procedures are maintained
  • Order stock as required and liaise with suppliers regarding orders and deliveries
  • Check deliveries against orders and ensure stock is stored appropriately
  • Regularly check stock for expiry dates and remove expired or unsuitable items in accordance with clinic procedures
  • Maintain accurate stock records and ensure stock is organised and readily accessible

 

Finance & Systems

  • Process patient payments and issue invoices and receipts
    Establish whether patients are self-paying or covered by private medical insurance and ensure the appropriate billing process is followed
  • Process and submit invoices to insurance companies where applicable
  • Liaise with insurance companies regarding patient cover, authorisations, invoices and payment queries
  • Assist with reconciliation of daily takings and financial queries
  • Ensure payments and financial information are recorded accurately
    Liaise with the Finance team when required
  • Maintain accurate information across relevant patient, booking and administrative systems

 

Confidentiality, Compliance & Teamwork

  • Maintain patient confidentiality, comply with GDPR, CQC requirements and clinic policies, and handle sensitive information appropriately at all times
  • Communicate professionally with patients, consultants, colleagues, external providers and insurance companies
  • Escalate incidents, complaints, concerns or clinical matters to the appropriate person
  • Work collaboratively with the wider clinical team
  • Demonstrate flexibility and a willingness to assist the wider team

Essential:
  • Previous experience in a healthcare administration, clinical receptionist, or medical secretary role
  • Excellent interpersonal and communication skills, both written and verbal
  • High attention to detail and strong organisational skills
  • Ability to manage multiple tasks and work calmly under pressure
  • Confident using Microsoft Office and able to learn new systems quickly
  • Professional, approachable, and team-oriented attitude

 

Desirable:
  • Experience supporting consultants or clinicians in a private healthcare setting
  • Familiarity with stock control or drug inventory procedures
  • Understanding of clinical environments and care delivery pathways
